Benefits enrollment your team can finish on a phone

Add your benefit plans, open an enrollment window, and let employees choose or waive coverage themselves. HRGP keeps the choices, dependents and beneficiaries with the employee's record.

HRGP keeps the records. Your insurance carrier or broker still provides the coverage. HRGP doesn't sell insurance or pay claims. For US businesses.

How benefits enrollment works

  1. Add your plans

Under Payroll, then Benefit plans, add each plan with its carrier, group number and plan year.

  2. Open an enrollment window

Set the dates and when coverage starts. Choose who can join each plan, with a waiting period or full-time only if you need it.

  3. Employees choose or waive

In My benefits, each employee picks a plan, lists family members and names beneficiaries. They only give names, relationships and dates of birth, never Social Security numbers.

  4. Review the choices

For each window, choose to review every election or approve them automatically. An approved choice becomes the employee's enrollment.

  5. Handle life changes

Married, had a baby or lost other coverage? An employee can tell you within 30 days, and you can open a 30-day change for that one person.

  6. Send changes to your broker or carrier

Carrier changes lists adds, changes and terminations for one carrier and a date range. No Social Security or bank numbers are included. Mark it as sent to keep a log.

What you can set up

  • Plan types: medical, dental, vision, 401(k), Roth 401(k), HSA, FSA and other.
  • Coverage levels with a cost per paycheck: employee only, employee and spouse, employee and children, and family.
  • For a 401(k), the employee can choose an amount or a percentage.
  • Who can join: a waiting period counted from the hire date, or full-time only.
  • Carrier details, such as group number and plan code, for the files your carrier receives.

What the employee sees

My benefits shows when enrollment closes and every plan with its cost per paycheck, before taxes where that applies. Each plan has an Enroll or waive button. A reminder sits on their to-do list in My Employee Portal with the due date, so you don't have to chase them. They can list dependents and beneficiaries in the same place.

What you review

Elections to review lists each choice with the employee's name, the plan, the coverage level, the cost per paycheck, who is covered and when it starts. You can change the start date, add a note, then choose Approve or Do not approve. If you don't want to review every one, a window can approve them automatically.

Connected to payroll

An approved choice becomes the employee's enrollment and flows into the payroll estimate and Send to payroll. Because benefits sit in the same HRIS as hours and records, nobody has to type a deduction in two places. Your payroll company still takes the deductions out of paychecks.

What stays with your carrier and payroll company

  • Your carrier or broker provides the coverage and handles claims.
  • Your payroll company takes the deductions out of paychecks. HRGP keeps the plan details and shows them in your payroll records.
  • A file with dates of birth asks you to confirm it's you before it downloads.
  • Benefits are included in your plan, with no per-seat fees.
